The Cisco 7940/7960 2-Line/6-Line Desk Phone is a standard workhorse desk phone. Features include a large 4-color display, two line appearances, missed/received/placed call directories, two-way speaker phone, mute, headset, call-waiting, three-way calling, and more. The Cisco 7940 is extendable with custom applications which can allow you to look up customer information, check stock prices, or check weather forecasts right from your phone.

LCD screen – Displays features such as time, date, phone number, caller ID, and softkeys. Line Softkeys – These buttons correspond to a line as shown on the LCD screen. The 7940 has two of these while the 7960 has six. Tilt Adjustment – Adjust the tilt of your phone. Softkeys – Performs context-specific functions as shown on the LCD screen. Help Button – Displays information about various buttons.

Application Buttons – Messages, Directories, Services, and Settings. Volume Buttons – Ringer and call volume. Speaker Buttons – Headset, Mute, Speaker. Navigation Buttons – Navigate applications and features on LCD screen. Dial Pad – Same as traditional telephone. Handset – Functions like a traditional handset. Light at the top blinks on incoming calls and stays lit when you have voicemail.

Using the Cisco 7940/7960 IP Phone

Placing a Call

• Take the handset off hook or press a Line softkey to get a dial tone.
• Dial the number you wish to call.
• Press the Dial softkey or wait for timeout.

Transferring a Call

• While in a call, press the More softkey.
• If making a blind (unannounced) transfer, press BlndXfr softkey.
• If making an attended transfer, press Trnsfer softkey.
• Dial the number to which you wish to transfer the call and press the Dial softkey.
• If BlndXfr was pressed, the transfer will happen immediately. Otherwise, announce the call and then press the Trnsfer softkey again to complete the transfer.

Important: If an attended transfer was selected, you must press the Trnsfer softkey again to complete the transfer. If you hang up the handset before completing the transfer, the transfer will be cancelled and the call will remain on hold on your phone.

Perform Three-Way Calling

• While in a call, press the Confrn softkey.
• Dial the number you wish to add to the call and press the Dial softkey.
• Announce the call to the new member.
• Press the Join softkey to conference everyone together.
• Calls cannot be split once conferenced on a Cisco 7940 Desk Phone.

Dial Voicemail for this Extension

• Press the Messages button.
• Enter the password for your voicemail box using your dial pad.

Directory Features

Look Up Missed, Placed, or Received Calls

• Press the Directories button.
• Using the navigations button, highlight Missed Calls, Received Calls, or Placed Calls.
• Press the Select softkey to enter the appropriate directory.
• Use the navigation buttons to browse through the list of calls.

Add a Contact to Your Personal Directory

• Press the Directories button.
• Use the navigation buttons to highlight Personal Directory.
• Press the Select softkey.
• Press the Add softkey.
• Using the dial pad, enter in a name for the contact.
  • To use numbers, press the Number softkey. To switch back to letters when in number mode, press the Alpha softkey.
  • To delete a letter or number, press the More softkey and then use the left-arrow softkey.
• Use the down navigation button to move to the phone number field.
• Press the Number softkey to switch to number mode and enter the number using the dial pad.
• Press the More softkey to switch menus and press the Save softkey to save the contact.

Delete a Contact from Your Personal Directory

• Press the Directories button.
• Use the navigation buttons to highlight Personal Directory.
• Press the Select softkey.
• Use the navigation buttons to select the contact you wish to delete.
• Press the More softkey.
• Press the Delete softkey.

Call a Contact from Your Personal Directory

• Press the Directories button.
• Use the navigation buttons to highlight Personal Directory.
• Press the Select softkey.
• Use the navigation buttons to select the contact you wish to dial.
• Press the Dial softkey.
